2. Information We Collect

We collect information that you provide directly to us, including:

  • Coaching topics, goals, business challenges, fitness data, and other content you share during sessions
  • File uploads (documents, images, PDFs)
  • Full session history and conversation data, including your messages and AI responses
  • Payment information (processed securely through Stripe)

We also automatically collect certain information about your device and usage patterns, including IP address, browser type, and usage analytics.

3. AI & Automated Processing

Our platform uses artificial intelligence to provide coaching services. Here is how your data is processed:

  • AI provider: Your conversations are processed by Anthropic's Claude AI models. Anthropic's data handling is governed by their own privacy policy and data processing agreements.
  • Conversation retention: We retain your full conversation history, including your messages and AI responses, to provide continuity across sessions.
  • Cross-session memory: We maintain a memory of key topics, goals, action items, and context across your sessions to improve coaching continuity. This memory is a summary — not a verbatim copy of your conversations.
  • No human review: Your conversations are not reviewed by human employees as part of normal operations. We may access conversation data to respond to support requests or investigate technical issues.
  • AI limitations: Our AI coaching is not a substitute for professional advice. AI-generated responses may contain errors or inaccuracies.

4. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve our AI coaching services
  • Process your requests and transactions
  • Generate AI-powered responses, recommendations, and action items
  • Maintain coaching memory and context across sessions
  • Send you service-related communications, including session follow-ups and engagement emails
  • Process payments and manage subscriptions
  • Comply with applicable legal obligations

5. Third-Party Services

We use the following third-party services to operate our platform. Each provider has access only to the data necessary to perform their function:

6. Health & Fitness Information

Our platform may involve discussions about health, fitness, and wellness topics. Please be aware:

  • We are not a healthcare provider. Our services do not constitute medical advice, diagnosis, or treatment. Always consult qualified healthcare professionals for medical decisions.
  • Any health or fitness information you share is stored and processed in the same manner as other conversation data described in this policy.
  • We do not submit claims to health insurance or operate as a covered entity under HIPAA.

7. Data Security

We implement industry-standard security measures to protect your information, including encryption in transit and at rest, secure database access controls, and row-level security policies that ensure users can only access their own data. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

8. Data Retention

We retain your data as follows:

  • Account and conversation data: Retained while your account exists. This includes your full conversation history, coaching memory, action items, and session summaries. Retaining this data is essential to providing coaching continuity across sessions.
  • Uploaded files: Files uploaded during sessions are removed from temporary storage within 24 hours of upload. Processed data extracted from files may be retained as part of your session record.
  • Payment records: Transaction and subscription records are retained for accounting and legal compliance purposes.
  • After cancellation: Canceling your subscription stops billing but does not automatically delete your data. Your account and associated data remain available in case you choose to return. To delete your data, see “Your Rights” below.

9. Your Rights

You have the right to:

  • Access your information: Request a summary of the personal data we hold about you.
  • Correct inaccurate information: Request corrections to your account details.
  • Delete your information: Request deletion of your account and all associated data. We will process deletion requests within 30 days.
  • Opt out of communications: Unsubscribe from coaching follow-up and engagement emails at any time using the unsubscribe link in any email.

10. California Privacy Rights (CCPA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA):

  • Right to know: You may request details about the categories and specific pieces of personal information we have collected about you.
  • Right to delete: You may request deletion of your personal information, subject to certain legal exceptions.
  • Right to non-discrimination: We will not discriminate against you for exercising your CCPA rights.

We do not sell your personal information. We do not share your personal information with third parties for their own marketing purposes. Data shared with third-party services listed in Section 5 is solely for operating our platform.

11. SMS Communications

If you opt in to receive SMS messages from us, you consent to receiving text messages related to your coaching sessions, account updates, and service notifications. Message and data rates may apply.

You may opt out of SMS communications at any time by replying STOP to any message or by contacting us at privacy@letschatcoach.com.

12. Children's Privacy

Our services are not intended for individuals under the age of 18. We do not knowingly collect personal information from children under 18. If we learn that we have collected personal information from a child under 18, we will take steps to delete that information promptly. If you believe a child under 18 has provided us with personal information, please contact us at privacy@letschatcoach.com.

13. Business Transfers

If we are involved in a merger, acquisition, or sale of all or a portion of our assets, your personal information may be transferred as part of that transaction. We will notify you via email or a prominent notice on our platform before your information becomes subject to a different privacy policy.
